Portrait Club is a highly rated, 5 star Black and White portrait studio and our dedicated team is committed to giving a fully professional experience to everyone we work with. Like any in demand small business, we require a confirmation fee to reserve your date and time. This fee is credited to any purchase you choose to make at your ordering session, or is cheerfully refunded subject to you attending your portrait session and ordering session. This helps to ensure that we are working with committed clients who value professional portrait photography.

Booking, Deposit & Refund Policy
A $200 deposit is required to reserve your session. This secures your studio time and photographer.

48-Hour Grace Period
You may cancel your booking within 48 hours of the time your deposit is paid for a full refund.  
Example: If you book at 9:00 AM on February 1, you have until 9:00 AM on February 3 to cancel and receive a full refund. After this 48-hour period, your deposit becomes non-refundable and will convert to a store credit, regardless of your scheduled session date.
This 48-hour window is based on the time of booking—not your session date. No exceptions.

After 48 Hours
The deposit becomes non-refundable, except under the following conditions:

• You attend your session 
• You attend your Zoom photo viewing appointment

• You choose not to purchase any images

If all conditions are met, your deposit will be refunded in full.
If you do not attend your viewing appointment, your deposit is forfeited.

Hair & Makeup Policy
If hair and/or makeup services are added to your session:

• A minimum of 7 days’ notice is required to reschedule
• Changes made with less than 7 days’ notice cannot be accommodated, and a new hair and makeup fee will be required to rebook

Hair and makeup services are non-refundable under all circumstances.

Cancellation & Rescheduling Policy
We operate on a reservation-based schedule and hold your time exclusively.
7+ days notice:

• You may reschedule your session with no penalty

Less than 7 days notice:

• Your deposit is forfeited and will not be credited to your order 

Less than 24 hours notice or no-show:

• Your deposit is forfeited, and a new deposit is required to rebook

Satisfaction & Reshoot Policy
If a client attends their session and scheduled photo viewing appointment but chooses not to purchase due to dissatisfaction with the images, Portrait Club may, at its discretion, offer one complimentary reshoot.

• Reshoots are offered as a courtesy and are not guaranteed
• Hair and makeup services are not included and must be repurchased if desired

If the client attends the reshoot session and corresponding viewing appointment and again chooses not to purchase, the original deposit will be refunded in full.
Determination of dissatisfaction and eligibility for a reshoot is at the sole discretion of Portrait Club.

Photo Viewing, Ordering & Incentives

• Clients are required to attend their scheduled Zoom photo viewing (ordering) appointment

This is where all image selections and purchasing decisions are made, Portrait Club does not provide galleries, thumbnail copies or any proofs. All purchasing decisions are expected to be made during your scheduled photo viewing appointment.

Gift Vouchers

• Any studio gift vouchers or credits must be used at your original photo viewing appointment
• Unused vouchers are forfeited after that appointment

Additional Viewing Appointments
Additional viewing appointments require a $350 prepayment, applied toward your purchase
This prepayment is non-refundable if no purchase is made

Failure to Attend Viewing Appointment

• Results in loss of deposit refund eligibility
• Failure to attend may result in permanent deletion of images in accordance with our Image Storage Policy.

Pricing Acknowledgment
By booking, you acknowledge:

• Collections begin at $1,950
• Albums begin at $3,900

Clients acknowledge that Portrait Club offers a premium product and that most clients invest above the stated starting prices.

Image Storage Policy

• Images are stored for 30 days from your session date
• After 30 days, images are permanently deleted
• Recovery is not guaranteed and may incur a fee

Purchase Policy

• All sales are final
• No refunds or exchanges on digital files, artwork, or printed products
• Orders cannot be modified once submitted

Model Release & Privacy (Boudoir)

• Boudoir clients are not required to sign a model release
• Portrait Club will never share boudoir images publicly without explicit written consent

Promotions & Contest Winners

• Contest winners and promotional voucher recipients must book their session within 48 hours (2 days) of being notified
• Portrait Club does not hold or reserve session dates without a confirmed booking and deposit
• Failure to book within this timeframe may result in forfeiture of the promotional offer or voucher
• All promotional sessions remain subject to standard availability and all Terms & Conditions outlined above

Late Arrival Policy

• For shorter sessions (including promotional or limited sessions such as the "Taste of Boudoir"), arrivals more than 5 minutes late may result in a shortened session or cancellation
• For full luxe boudoir sessions, arrivals more than 15 minutes late may result in a shortened session or cancellation
• Late arrivals do not extend session time and may be treated as a no-show at the studio’s discretion

Chargeback & Payment Dispute Policy
By placing a deposit or making any payment, you acknowledge and agree to all Terms & Conditions outlined here.

• Deposits represent a reservation fee for time, services, and administrative costs, not a product purchase
• By booking, you waive the right to dispute charges that are consistent with these agreed terms
• By completing your booking, you explicitly authorize this charge and agree that it is valid and non-fraudulent.

Portrait Club maintains detailed records of:

• Booking confirmations
• Signed agreements
• Communication history including any recorded conversations
• Appointment attendance

These records will be provided in response to any chargeback or payment dispute.

Fraudulent or unjustified disputes may result in:

• Immediate cancellation of services
• Forfeiture of all payments and credits
• Additional collection actions where permitted

Revisions & Accuracy
Portrait Club may update website content at any time without notice and does not guarantee all information is current or error-free.

Governing Law
