Portrait Club is a highly rated, 5-star black and white portrait studio. Our dedicated team is committed to giving a fully professional experience to everyone we work with. Like any in-demand small business, we require a confirmation fee to reserve your date and time. This fee is credited to any purchase you choose to make at your ordering session, or is cheerfully refunded subject to the conditions outlined below.
Booking Confirmation / Reservation Retainer
Portrait Club is a high-end, reservation-based portrait studio. When you book a session, your appointment time is reserved exclusively for you and other clients are turned away. A reservation retainer is required to secure your session. This retainer is applied toward any purchase made at your photo viewing appointment.
Your reservation retainer is only eligible for refund under the following conditions:
- — You attend your scheduled portrait session, and
- — You attend your photo viewing/ordering appointment, and
- — You choose not to purchase any images
If all three conditions are met, the studio may offer a complimentary reshoot. Reshoots are offered as a courtesy and are not guaranteed. If a reshoot is provided and you again choose not to purchase after attending the second session and viewing appointment, your retainer will be refunded in full.
Determination of dissatisfaction and eligibility for a reshoot is at the sole discretion of Portrait Club. Refunds are not provided for cancellations or missed appointments, regardless of the reason, as your session time is reserved exclusively for you.
Cancellations & Rescheduling
- — If you cancel your session, the retainer is not refundable, regardless of how much notice is given
- — If you fail to attend the session or the viewing appointment, the retainer is forfeited
- — Cancellations made within 24 hours of your appointment automatically forfeit the retainer
- — If you cancel or reschedule more than two times, the retainer will be forfeited and a new retainer will be required to book again
- — If you cancel before attending your session (and it is not within the 24-hour window or beyond the allowed number of reschedules), the retainer may be held as a studio credit or transferable gift voucher at the studio's discretion
Special Sessions
For Headshots, Pop-Up Studios, Charity Projects, Book Projects, and Holiday Specials, retainers are not refundable under any circumstances.
Studio Sample Day — ONLY FOR our 15 min. Personality Portrait Sessions
Studio Sample Day sessions are promotional events offered on a limited, date-specific basis. The following terms apply exclusively to sessions booked as part of a Studio Sample Day event and supersede standard session terms where noted.
- — No deposit is required to hold your initial Studio Sample Day appointment
- — If you cancel for any reason, a $100 deposit will be required to rebook
- — If you need to reschedule, please provide at least 24 hours' notice; a $100 deposit will be required to secure your new appointment
- — If you book more than one appointment, a $100 deposit per additional appointment is required; additional session deposits are limited to immediate siblings only
- — All deposits are applied toward your purchase at your image reveal or fully refunded at your session if no purchase is made
Clients who no-show their Studio Sample Day appointment forfeit all promotional pricing permanently and without exception. A $100 deposit will be required to rebook and standard Portrait Club pricing will apply to any future appointment.
- — Rebooking is subject to availability — future session dates are not guaranteed
- — Only one reschedule is permitted; subsequent cancellations or no-shows will forfeit all promotional pricing without exception

- — Studio Sample Day pricing is exclusively available for Personality Portrait sessions booked as part of this event
- — Digital file collections: 3 files — $299, 5 files — $399, 8 files — $499, 12 files — $699
- — Color file add-on — $99 (regularly $350) — Sample Day exclusive
- — These offers are not transferable to boudoir, headshot, pet, family, or any other session type
- — Sample Day pricing is valid for 3 days following your session and must be completed at your Zoom image reveal appointment
Before you leave your session, your private Zoom image reveal appointment will be scheduled with you in person. The following terms apply:
- — All decision makers must be present at the Zoom reveal
- — Choose your favorites and complete your purchase at exclusive Sample Day pricing during the reveal
- — Sample Day pricing cannot be reinstated after the reveal appointment concludes
- — No proofing gallery will be provided prior to the reveal
- — Images not purchased at the reveal are permanently deleted within 2 weeks of your session
- — Digital files are delivered within 4 business days of your reveal via a private download gallery
- — Each child or dog requires their own 15-minute appointment
- — Additional appointments are available for immediate siblings only
- — Late arrivals may result in a shortened session — no time extensions are given
- — Personality portraits depend on your subject's mood and participation; specific images, expressions, and outcomes cannot be guaranteed
Pet Policy
- — All pets must be up to date on rabies vaccination; please verify this with the studio before your appointment
- — If vaccination documentation is not available, your pet must remain leashed at all times during the session
- — Dogs must be walked and given a potty break before entering the studio
- — Owners are responsible for their children's and/or pet's behavior during the session, including any damage caused and any injury to Portrait Club staff or contractors
- — Portrait Club reserves the right to end a session early if a pet or child poses a safety or cleanliness risk, without refund
Image Delivery & Gallery
- — Digital files are delivered within 4 business days of your image reveal or ordering appointment via a private download gallery
- — Galleries are live for 14 days; after expiration, a $40 fee is required to reopen the gallery for viewing and purchasing only
- — Portrait Club retains copyright on all images produced; clients are granted personal use rights only
- — Images may not be used for commercial purposes without written consent from Portrait Club
Session Outcomes
Portrait Club makes every effort to deliver exceptional portraits. However, specific poses, expressions, or outcomes cannot be guaranteed as they are dependent on subject cooperation, mood, and participation. This applies to all session types including children, pets, and personality portrait sessions.
Late Arrivals
Late arrivals may result in a shortened session. No refunds, credits, or time extensions are given for late arrivals regardless of the reason.
Inclement Weather
Portrait Club will reach out the day before a scheduled session if weather conditions are likely to affect studio operations. Refunds are not given for weather-related cancellations; however, the studio will make every effort to reschedule affected clients on a new date.
Agreement
By scheduling an appointment and paying any reservation fee, deposit, or retainer, you acknowledge that you have read, understood, and agreed to these Terms & Conditions in full.
